SPF

Sender Policy Framework

What it is

A DNS record listing which mail servers are allowed to send mail from your domain.

Analogy

Like a guest list. Mail servers check the list before delivering.

Effect

Blocks attackers from sending mail as you from random servers.

DKIM

DomainKeys Identified Mail

What it is

Cryptographic signature added to every outbound message, verifiable via DNS.

Analogy

Like a wax seal. Receiving servers check the seal hasn't been broken.

Effect

Proves the message wasn't modified in transit and came from you.

DMARC

Domain-based Message Authentication

What it is

Tells receiving servers what to do if SPF or DKIM checks fail (quarantine, reject, or monitor).

Analogy

"If the seal is broken, throw the letter away."

Stops attackers spoofing your domain in their phishing campaigns.

14-day automatic ramp from monitor to reject

Most hosts set DMARC to "none" forever and call it done. We progress to reject mode over two weeks. Stops attackers cold without breaking legitimate mail from third-party tools.

Day 0–7

p=none

Monitor mode. We collect DMARC aggregate reports to identify all legitimate sources sending mail from your domain (newsletters, CRMs, helpdesks, etc).

Day 8–13

p=quarantine

Quarantine mode. Failed mail goes to recipients' spam folder. Watching for any legitimate sources we missed in week 1.

Day 14+

p=reject

Reject mode. Spoofed mail is dropped at receiving server, never reaches inboxes. Spammers can't impersonate your domain anymore.

Is SPF/DKIM/DMARC set up automatically?+
Yes. When you add a domain in KPanel, we publish SPF, DKIM, and an initial DMARC monitor record automatically. No DNS wizard, no copy-paste. The 14-day DMARC ramp then runs without you touching it.
What is tuned filtering?+
We've trained spam rules on NZ-specific patterns: local scam campaigns, Kiwi bank impersonation, IRD phishing, and MBIE impersonation. Generic spam engines miss these; ours catches them.
Can I whitelist / blacklist senders?+
Yes, per-mailbox and per-domain from KPanel. Whitelist a trusted sender permanently, or blacklist an entire sending domain. Changes take effect within minutes.
What happens if a legitimate message gets flagged?+
It lands in your spam folder with a score breakdown visible in webmail. You can release it and add the sender to your whitelist in one click. We do not silently delete flagged messages.
Does TLS encryption mean my emails are private?+
TLS encrypts messages in transit (server-to-server and client-to-server). Your mail is not end-to-end encrypted unless both parties use something like S/MIME or PGP. For most business email, TLS is the right level.
Do I get DMARC reports?+
Yes. Aggregate reports from every major sender (Google, Microsoft, Yahoo) are parsed and displayed in KPanel. You'll see which IPs are sending on your domain's behalf and whether they pass SPF/DKIM.
