Understanding Your Billing Page

The Billing page is the single place your money lives: what you pay each month, what is due next, which cards are on file, and every order and invoice you have ever had.

Open it from Billing in the KPanel sidebar. The page is described in its own header as "Plans, payment, invoices, and order history."

The Three Tabs

Everything is organised under three tabs across the top, labelled Billing sections for screen readers.

Switching tabs updates the address bar, so you can bookmark a tab or share the link with a colleague who has the Billing role.

Reading the Monthly Bill

At the top of the Plans tab is a large figure, the Monthly bill. It is the sum of your active subscriptions expressed as a monthly equivalent, so an annual plan is shown as one twelfth of its yearly price rather than as a lump.

Underneath it, the caption reads "Your rates are locked from signup." That is a literal statement of how the platform works, not a marketing line. See Renewals and Auto-Renew for how the price lock is enforced at each renewal.

Every price on this page is shown excluding GST. The GST-inclusive figure appears only where you are actually being charged: the checkout total, the "today's charge" line on a plan change, and the total on an invoice. If you are reconciling against a bank statement, compare against the invoice, not against the monthly bill figure. See GST and Tax Invoices.

Two smaller statistics sit beside it:

  • Next invoice, showing the date and amount of the next scheduled charge. This appears only when a forward estimate is available for your subscriptions.
  • Paid this year, with a count of invoices behind it.

If you are on a free trial, a banner replaces the statistics with the days remaining, which day of the trial you are on, and the date it ends.

Your Plans

The Your plans table lists each subscription with its plan name, usage against any included allowance, the recurring amount, its status, and two actions: Change plan and Manage.

Statuses you may see are Active, Trialing, Past Due, Grace Period, Paused, Cancelled, Unpaid, and Incomplete.

This table only lists subscriptions that are active, on trial, or past due. A paused or cancelled subscription will not appear here. To find one, open the Orders tab and follow the order through to its subscription, or go straight to its manage page if you have the link.

Change plan opens the upgrade and downgrade flow, which previews the exact charge before anything happens. See Proration and Plan Changes.

Manage opens the subscription detail page, where you can pause, cancel, retry a failed payment, or switch the card used for renewals.

Below the plans table, an Add-on subscriptions section appears where you have them, covering extras such as support plans, extended backup retention, and email upgrades.

The Right Column

Two summary cards sit alongside the plans table.

Payment methods shows your default card. Cards are managed in full on the Payment tab. See Payment Options and Saved Cards.

Invoices lists your five most recent invoices, each linking to the invoice itself. All Invoices takes you to the Orders tab, which is the full history. See Reading Your Invoice.

The Payment Tab

Four things live here.

Saved cards. Add a card, remove one, or set which card is used by default.

Spend alerts. Set a threshold and a rolling window (a calendar month, or the last 7, 14 or 30 days) and record an address to notify.

Spend alerts can be created and are stored against your account, but nothing currently evaluates them, so do not rely on one to tell you about unexpected spend. Watch the Next invoice figure on the Plans tab and your renewal reminder emails instead.

Billing details. Your account name, NZBN and GST number, and billing email, with the note "Appears on tax invoices and GST receipts." These are your own company details, printed onto your invoices so they satisfy your accountant. Filling them in is optional.

Next invoice. A forward view of the next scheduled charge.

The Orders Tab

Every purchase and every automatic renewal produces an order. The table shows the date, the order number, a description, the amount, the status, and a View link to the order itself.

Order numbers look like KC- followed by digits. Invoice numbers are different: they look like KCI- followed by the year and a sequence. One order and one invoice usually describe the same transaction from two angles, which is why an invoice link often lands you on the order page. Reading Your Invoice untangles the two.

Refunds are requested from the order, not from this list. Open the order and look for the refund action in its Manage card. Refunds and What Is Refundable explains which items qualify.

If you have never bought anything the tab reads "No orders yet. Purchases and subscription renewals will appear here."

Who Can See and Change What

The Billing page needs the Owner, Admin, or Billing role. The Support and Viewer roles cannot reach it.

Read access and write access are separate. Someone with the right role but without billing write permission sees the page but finds the controls disabled, with the tooltip "Requires Owner, Admin or Billing". See Inviting Team Members and Setting Roles for what each role can do.

Every billing action is recorded in the audit log under the billing.* and subscription.* actions, with the person and the IP address attached.

Troubleshooting

The Next invoice figure is missing. A forward estimate is not always available. Your renewal date is still shown on each subscription's Manage page.

A subscription I know exists is not in the table. It is probably paused or cancelled. Neither appears on this tab.

The monthly bill does not match my card statement. The monthly bill is exclusive of GST, and an annual plan is shown as a monthly equivalent rather than as the amount actually charged. The invoice total is the figure that matches your statement.

A charge failed. Open the subscription's Manage page and use Retry payment now, or update the card first. When a Payment Fails covers the automatic retry ladder.

I cannot see the Billing item in the sidebar. Your role does not include billing. Ask the Owner or an Admin.
