Setting Up Your Care Plan

After you subscribe to Kapsule Care, a short onboarding form tells our team which site to manage, how to get access, and what to prioritise, so the first review starts on the right foot.

When Onboarding Happens

The moment your Care subscription is paid, it appears on your Care dashboard with the status Pending Setup and a Finish setup button. That is your cue.

Onboarding is not a payment step and it is not a gate: our team contacts you within one business day either way. Filling the form in first means that conversation starts with the answers already in hand rather than a round of questions.

The form is at /care/onboarding. It only opens when you have a Care subscription in Pending Setup or Active; without one you are returned to /care.

Who Can Complete It

Completing onboarding requires the care:write permission, held by account Owners and Admins. Other roles can open the page and read it, but the fields are read-only and the submit button is locked with a note about which roles can act.

What the Form Asks

1. Which Site Should We Manage?

Two large choices:

  • A site already on KPanel. Pick it from the dropdown of your active sites and we link it to your plan.
  • A site hosted elsewhere. Enter the domain and we take it from there.

If you have no active sites on KPanel, the form goes straight to the domain field.

You do not have to get this right today. You can assign or change the managed site later by contacting support, so pick the site you most want looked after and move on.

2. Access Details

Optional, but this is the section that decides whether your first week is productive or spent chasing logins.

  • Admin / CMS URL. Where you log in to run the site, for example https://yoursite.com/wp-admin.
  • Access notes. Anything we need to know to get in: the name of the hosting control panel, access restrictions, a staging URL, an IP allowlist we will hit.

Do not put passwords in the access notes. The form says so and it means it. Our team will contact you separately to collect credentials securely. A password typed into a free-text notes field is stored and readable, which is exactly what you do not want.

3. What Matters Most

One free-text box: Anything we should know? Recent issues, things to prioritise, plugins you rely on and must not break.

This is the highest-value box on the form. It is the difference between a first month spent on generic housekeeping and a first month spent on the thing that has actually been bothering you.

Useful things to write here:

  • "The checkout is slow on mobile and I do not know why."
  • "The booking plugin breaks every time it updates. Test it before it goes live."
  • "We publish every Tuesday, so avoid deploying anything Monday night."
  • "Last host left us on an old PHP version. Fix that first."

4. Primary Contact

Optional. Name and email for the person we should actually talk to. Leave it blank and we use your account email.

Worth filling in when the account holder is not the person who runs the site day to day: a director owns the billing, the marketing manager answers the questions.

Submitting

Click Submit onboarding details. The page confirms with Onboarding details received and tells you our team will review and be in touch within one business day to get your plan set up. From there, Go to your Care dashboard returns you to /care.

Every submission is reviewed by a person within one business day.

Skipping for Now

Skip for now returns you to the Care dashboard without submitting. Your subscription stays in Pending Setup and the Finish setup button remains on the coverage band, so you can come back to it.

You are not penalised for skipping. Our team still contacts you within one business day; the conversation just starts from a blank page.

What Happens Next

  1. Our team reviews your submission.
  2. We contact you within one business day, using your primary contact if you gave one.
  3. We collect any credentials securely, outside the form.
  4. We onboard the site and schedule your first performance and security review.
  5. Your subscription moves from Pending Setup to Active.

From that point the normal rhythm starts: updates run through staged, tested and deployed work cycles, and your first monthly report is published at the end of the period. Both are explained in Kapsule Care Overview.

Preparing Your Site

Two things worth doing before the first review, whether or not you fill in the form:

  • Take a manual backup. Not because Care is risky, but because a known-good restore point immediately before a maintenance handover is always worth having. See Taking a Backup.
  • Check the admin account you are handing over works. A stale admin login is the single most common cause of a stalled first week.

What If It Fails

The form redirects you to /care. You have no Care subscription in Pending Setup or Active. Order a plan first from the plan row on the Care dashboard.

The page shows "Onboarding details received" before you filled anything in. Your subscription is already Active, or a submission was already recorded against it. Nothing is wrong. Contact support if the details on file need changing.

"Something went wrong" on submit. The submission did not reach us. Your typed answers are still in the form, so try the button again. If it keeps failing, open a support ticket and paste the details there instead.

The fields are read-only and the submit button is locked. Your account role does not include care:write. Ask an Owner or Admin on the account to complete it.

You picked the wrong site. Contact support to reassign it. The form itself is a one-time submission.
