Changing the Email Address on Your Account
Your account email is both your sign-in identity and the address every security and billing message goes to, so changing it is a verified, two-sided process rather than a simple edit.
The important part to understand before you start: your current address stays active and stays your sign-in until the new one is verified. There is no window in which you are locked out.
Where to Change It
- Sign in and go to Settings, then Profile.
- In the Profile card, find the Email row. It shows your current address with a Verified or Unverified marker.
- Click Change.
- Enter the new address and click Send verification link.

The panel explains what it is about to do: "We send a verification link to the new address. Your current email stays active (and remains your sign-in) until the new one is verified, and it is notified of the change."
What Happens Next
Two emails go out at once, and they go to different places on purpose.
To the new address: a verification link. Clicking it promotes the new address to be your account email and sign-in identity, and marks it verified.
To the old address: a security alert headed "Email change requested", telling you that a change was requested, naming the new address, and stating that your current email stays active until the new one is verified.
That second email exists for one reason. If somebody else has got into your account and is trying to move it under their control, the alert lands in the inbox you still control, while your access is still intact. If you ever receive one you did not ask for, treat it as an account compromise and work through Account Security immediately.
Until you click the link, the panel shows "Pending change to that address, awaiting verification. Current value stays active until then."
The Verification Link
The link is single use and expires 24 hours after it is issued. Starting a new email change invalidates any earlier unused verification link, so only the most recent request can complete.
If the link has expired, go back to Settings, then Profile, and start the change again. You will get "Link expired" rather than a silent failure if you use an old one.
You can request an email change up to three times in any 30 minute window. Beyond that the panel returns "Too many requests. Please try again shortly." Wait a few minutes and try again.
Choosing the Right Address
A few things are worth thinking about before you pick one.
Do not use an address hosted on a domain you host with us. If your site or mail goes down, or a domain lapses, you lose the inbox that receives your password resets at exactly the moment you need it. Use an address on a different provider entirely.
Use an address you personally control. A shared info@ mailbox that three people read is a poor place to send two-factor codes and password reset links.
Do not use a role address if you can avoid it. Addresses like admin@ and webmaster@ attract spam filtering and are more likely to have their mail quarantined by strict corporate rules.
Billing Email Is a Separate Setting
Changing your account email does not change where invoices go.
The billing email lives in the Billing and Company card further down the same Profile page. Where one is set, invoices, receipts, renewal notices and payment failure warnings go there instead of to your login address.
This is deliberate: it lets an accountant or a finance mailbox receive billing without holding a login. If you want the same address for both, set both fields. See Managing Your Email Notifications for which messages follow which address.
Verification and Sign-In
If your account email shows as Unverified, click Resend link on the Email row to get a fresh verification message. An unverified address can block sign-in: the login page returns "Please verify your email before signing in. Check your inbox."
Once verified, the address becomes your sign-in identity. Your password, your two-factor setup, your sessions and your trusted devices are all unaffected by an email change, so you do not need to set anything up again.
If you sign in with Google, GitHub, or Apple rather than a password, changing your Kapsule account email does not change the account you sign in with. Keep using the same social login. Changing the email on the social provider's side is a separate matter and should be done there.
Changing the Address on a Teammate's Login
You cannot change another person's email for them. Each person changes their own from their own Profile page.
If a teammate has left and their address is unreachable, do not try to take over their login. Remove them from Settings, then Team, and invite the replacement person at their own address. See Inviting Team Members and Setting Roles.
Troubleshooting
"That email is already in use by another account." The address already belongs to a Kapsule login. Either use a different address, or close the other account first.
"That is already your email address." You have entered your current address. Nothing to do.
The verification email never arrived. Check spam and quarantine at the new address. If it is a work address, ask whoever runs your mail to look for a rejected delivery. Then start the change again to get a fresh link, since the old one is now invalidated.
I clicked the link and nothing changed. The link had already been used or had expired. Start the change again from the Profile page.
I no longer have access to my current email address. Do not start an email change, because the verification link goes to the new address but you will still need to prove you are you. See Lost Access to Your Account Email.
I received a change alert I did not request. Someone else has access to your account. Change your password, sign out everywhere from Settings, then Security, revoke API keys, and check the audit log. Account Security has the full sequence.
