Managing Your Email Notifications
Kapsule sends two very different kinds of email: the ones that keep your account running, which are always on, and the optional ones you can switch off whenever you like.
Both live on one page. Go to Settings, then Notifications in the You group of the settings rail.

Account Essentials, Always On
The first group on the page is Account essentials, described as "Sent every time. They keep your account safe and running." These four categories have no switch, and each shows an Always on marker instead.

These are transactional messages. They are not marketing, and they cannot be turned off. The page states the reason in its own footnote: security, billing, service, and support emails are required to operate your account, in line with the New Zealand Unsolicited Electronic Messages Act.
Because billing email cannot be switched off, an out of date address is a real risk. A renewal warning that bounces is a renewal warning nobody reads, and the dunning ladder keeps running regardless. Keep your address current using Changing the Email Address on Your Account.
Optional Categories, Your Call
The second group is Your call, described as "Flick a switch and the change saves right away." Two categories sit here:
- Tips and reminders: onboarding help, trial reminders, and product tips.
- News and offers: product announcements and occasional offers.
Toggle either one and it saves immediately, confirmed by a Saved message. There is no separate save button. If a save fails you see "Could not save that change. Please try again." and the switch snaps back to its previous position, so what you see on screen always matches what is stored.
Turning off Tips and reminders also turns off trial reminder emails. If you are running a free trial and want the reminder before it converts, leave this one on until the trial has ended.
Proactive Insight Emails
Below the category list is a separate card for insight emails. These are the proactive alerts the platform raises about your own services rather than about your account: performance regressions, resource pressure, and similar findings surfaced on your dashboard.
The card splits these into an opt-in stream and a critical stream. Critical findings are the ones you would want to hear about at two in the morning, so treat that switch with care before turning it off.
Team and Orbit Notifications
The last card on the page covers notifications aimed at a team rather than at you personally, including Orbit deployment events. These are configured per account rather than per person, so a change here affects what your teammates receive too.
If you are the only person on the account this distinction does not matter. If you share the account, agree with your team who owns these settings before changing them. The Team page shows who else would be affected.
Which Address Notifications Go To
There are two addresses on a Kapsule account and they are not the same thing.
- Your login email, set on Settings, then Profile. This is your identity: it receives security, sign-in, and personal notification email.
- The billing email, set in the Billing and Company card on the same page. Where one is set, this is the address invoices, receipts, renewal notices and payment failure warnings are addressed to.
If you want your accountant to receive invoices without giving them a login, set the billing email to their address. If you want them to be able to see and pay invoices in the panel, invite them with the Billing role instead.
Notification language follows the Language setting on your Profile page, which the panel describes as "The language for your control panel and every email we send you. Changes take effect immediately."
Notifications and the Panel
Email is not the only channel. Some of the same events are visible without any email at all:
- Renewal dates and payment state are on the Billing page.
- Every action taken in the account is in the audit log.
- Sign-in attempts, active sessions and trusted devices are on Settings, then Security.
If you are trying to reduce inbox noise without losing visibility, switching off the optional categories and checking these three pages on a schedule is a reasonable trade.
Troubleshooting
I turned a category off and still received an email from it. Check which category the message actually belongs to. Receipts and renewal notices are billing email, which is mandatory, even though they can feel promotional when a plan is about to renew.
Nothing arrives at all, including password resets. Your mail provider is filtering us. Add our sending address to your allow list, check your spam and quarantine folders, and if you host your mail elsewhere, ask whoever runs it to look for rejected deliveries. Nothing in the panel can force delivery through a filter.
A teammate is not getting notifications. Each person's optional preferences are their own. Ask them to check this page on their own login. Mandatory categories always send, so if they are getting nothing at all it is a delivery problem, not a preference.
I want a different address for invoices only. Set the billing email on Settings, then Profile, in the Billing and Company card. That does not change your sign-in address.
I stopped getting trial reminders. The Tips and reminders category carries them. Switch it back on.
